Damage, Cleaning, Missing Equipment and Security Deposit Policy
Last updated: September 25, 2026
Deposit vs. booking payment
Your booking payment is what you pay to rent the equipment for your event and to confirm your reservation.
A refundable security deposit, where one applies to your booking, is separate. It is not part of the booking payment and does not reduce it. It is held against the possibility of damage, loss, or other charges, and is returned to you if none apply.
Whether a deposit applies, and how much, is set out on your invoice before your booking is confirmed.
When a deposit may be withheld or applied
We may withhold all or part of the deposit, or apply it toward amounts you owe, where — and to the extent that — the rental agreement supports it, for:
- Damage to equipment beyond ordinary wear
- Equipment, parts, or accessories that are missing or not returned
- Equipment that is lost or stolen while in your possession
- Cleaning beyond ordinary cleaning, including food, drink, sand, mud, paint, tape residue, or pet waste
- Use outside what the rental agreement and our Rental Terms and Conditions allow
- Late return, or a rental kept beyond the agreed period
If we apply any part of your deposit, we will tell you what it was applied to.
Ordinary wear
Ordinary wear from normal, instructed use is expected and is not charged for.
Charges above the deposit
The refundable deposit is security, not a cap on your responsibility. If the cost of damage, loss, cleaning, or other charges is more than the deposit, you remain responsible for the difference.
Damage during your rental
If equipment is damaged, lost, or stolen while it is in your possession, tell us as soon as you can. Do not attempt to repair it yourself. Prompt notice helps us assess the situation accurately and may reduce what is owed.
Inspection and notice
Equipment is inspected when it is returned or collected. If we identify damage, missing items, or a cleaning issue, we will contact you and explain what we found and what is being charged.
Payment of Additional Charges
By accepting the Rental Terms and providing a payment method in connection with a rental, the renter authorizes JJ Modern Events LLC to charge the payment method provided or validly maintained on file for amounts properly owed under the rental agreement, including reasonable charges for damaged equipment, lost or stolen equipment, missing equipment or components, unreturned equipment, excessive cleaning, agreed additional rental time, and other additional amounts expressly agreed to by the renter.
Any additional charge must be reasonably related to the amount actually owed. When reasonably available, JJ Modern Events will provide an itemized explanation and supporting documentation such as photographs, repair costs, replacement costs, or receipts.
Amounts that are not charged to a payment method will be invoiced to you.
