Weather and Outdoor Rental Policy
Last updated: September 25, 2026
Southwest Florida weather changes quickly. Most of our equipment is used outdoors, and safety comes before the schedule.
Conditions that affect outdoor rentals
Rain, high or gusting wind, lightning and thunderstorms, flooding, standing water, saturated or unstable ground, extreme heat, and other unsafe conditions can all make setup, use, or collection unsafe — particularly for inflatables, tents, canopies, screens, and powered equipment.
What we may do
JJ Modern Events retains the right, when weather or site conditions are unsafe, to:
- Delay setup until conditions improve
- Alter where or how equipment is set up
- Refuse setup
- Discontinue use of equipment
- Take equipment down
- Retrieve equipment early
We make these decisions based on conditions at the time, forecasts, and the instructions for the equipment involved. We will always try to talk to you first, but if conditions require immediate action for safety, we will act first and explain after.
Weather Before Delivery or Setup
If JJ Modern Events determines that weather conditions make the rental unsafe or impractical before the equipment has been delivered, picked up, or set up, the rental may be rescheduled rather than canceled and refunded. Weather rescheduling terms:
- One weather-related reschedule per reservation
- Payments already made are applied to the rescheduled date
- Weather does not entitle you to an automatic refund
The weather reschedule is subject to availability and must be used within six months of the original event date.
If the renter does not select and use an available rescheduled date within that six-month period, the weather reschedule credit expires and is not refundable.
The inability to obtain a customer's preferred date does not convert the weather reschedule into a cash refund.
If you cancel because of a forecast
If you choose to cancel because of a weather forecast, but JJ Modern Events has not determined that conditions require a weather reschedule, our standard Cancellation and Refund Policy applies.
Weather After Delivery or Setup
The weather reschedule described above applies only before delivery, pickup, or setup. Once rental equipment has been delivered, picked up, or set up for the event, the rental is considered fulfilled and weather-related refunds or complimentary rescheduling are not available. Weather conditions can change unexpectedly, and the renter is responsible for following all weather and safety instructions provided by JJ Modern Events.
If weather becomes unsafe after setup, JJ Modern Events may require certain equipment to stop being used, be powered off, moved to a protected area when appropriate, taken down, or collected early. The renter must follow these instructions.
Equipment requiring protection from rain or other weather — including electronics, projectors, speakers, concession equipment, and similar items — must be kept protected as instructed.
Early collection, discontinued use, or shortened rental time due to unsafe weather after delivery or setup does not entitle the renter to a refund or complimentary reschedule.
Your responsibilities during unsafe weather
If unsafe weather develops while equipment is in your possession, stop use immediately, get everyone clear of the equipment, and follow any shutdown instructions we gave you for that item. Unless we instruct you otherwise, do not attempt to move, take down, secure, or re-anchor inflatables, tents, canopies, or screens yourself. Contact us as soon as it is safe to do so.
Weather damage
You are not automatically responsible for all weather damage. You may be responsible for damage that results from misuse, negligence, failure to protect equipment as instructed, or failure to follow JJ Modern Events' weather or safety instructions. See our Damage, Cleaning, Missing Equipment and Security Deposit Policy.
